Magic Budget Guidelines...

**I'm SO sorry - I realized AFTER this post hit the blog that I forgot to include my "dummy" slides! There here now...

One of the hardest things that I’ve done while planning our wedding is definitely, hands down, no questions asked...keeping myself on budget. I say myself, but B’s wishes are in there too...surprisingly there have been a few things that he’s asked to have on our wedding day that just isn’t in our budget. But for the most part, it’s curbing MY spending that does the trick. If he sat around and looked at wedding blogs and wedding magazines all the time too, then he’d have just as much trouble as me!
But seriously. When we first got engaged...OK, to be honest, I did this BEFORE we got engaged, who doesn’t?...I went out and bought a handful of wedding magazines (right after payday of course!) and a binder. Everyone needs a wedding binder, or maybe I should tighten that broad statement down to every anal, organizational freak like me, needs a wedding binder. And I would go through the magazines like everyone else either marking things that I liked or just tearing out the pages and punching holes in them and then putting them into the appropriate divider in my binder. (OK, that’s the anal-retentive side of me coming out, but yes, it really did happen that way!)

And one thing that I really focused on in those early days were all the articles that I could find on budgets. You know, how they tell you that this portion of the wedding should be roughly XX% of your overall budget? Yeah, those charts. They look something like this:

Attire 10%
Flowers 10%
Photography 10%
Reception 45%
Music 5%
Stationary 4%
Transportation 8%
Extras 5%

My first problem here? The categories were too broad. For example, the category of Attire. Would that be Attire for everyone – bride and groom? And just exactly where did the garter fall into? Would that be attire, since technically you do wear it, or would it be extra since it wasn’t really attire? What about hair and make-up? I don’t see Beauty listed on there anywhere. And the category of Reception just covers everything related to the reception – venue, rentals, food, drink, favors, décor? My list of questions could really go on and on...

You see, I was trying to figure out how much we wanted to spend overall. And all of these articles weren’t really telling me that. They were helping me allocate the budget that I had in my head into general categories, but not really telling me that if I wanted to have A, B or C at my wedding, then I needed to plan on spending about $XX amount of money.

So I did what any sane, reasonable, anal-retentive, control-freak bride would do...I turned to my friend Excel. I created a spreadsheet that listed those loose guidelines and categories at the top and then extrapolated those figures out over 3 or 4 budget options.

Since I didn’t really know what we wanted to spend, or what we could expect to spend on a wedding in Austin, TX I was trying to leave myself some wiggle-room, while still getting a general idea.

Then at the bottom of that same spreadsheet, I took those main categories and broke them down further...so that Attire now had subcategories of Bride, Groom, Flower Girl and Ring Bearer (since they’re our own kids, we have to pay for their attire!). I did the same thing for most of the categories, even going so far as to break down the general Ceremony into sub-categories like Officiant, Venue, Décor (not flowers), and Flowers. Yeah, I know...anal much?

Then on the next spreadsheet within that same file, I copied my broken down categories and then made columns for each month. This way I could enter in expenses as we had them, and I could keep track of how much we were spending. I also inserted columns for total price (contracted vendors), down payment amounts, and final balance totals so that at a glance I could see how much we still owed a particular vendor. Then I put a subtotal at the bottom.

Lastly, I went back to my original spreadsheet and out to the side of where I had made my new categories and sub-categories, I listed the months until the wedding and linked the totals to the previous spreadsheet where I was entering expenses. At the end of the columns, I inserted a percentage calculation column...so that I could see how close (or far off) I was from the “suggested norm” of the wedding industry. (You can see that back under Slide #1) It all sounds complicated, but if you’re familiar with Excel, it was a piece of cake.

I’ve been diligent with keeping receipts on my person until they have been entered and logged into the appropriate category on my spending spreadsheet, and afterwards then they are filed into my wedding binder in the special zippered bag that I got just for receipts. Any receipts in the form of contracts go into the Contracts divider, but other than those, all receipts can be found in the zippered pouch at the back of the binder.

This spreadsheet has literally saved my sanity. I don’t use it as a hard and fast rule...for instance, the guidelines given show that the photography portion of our budget should fall somewhere between $1,200 and $2,000, depending on which level of overall budget you’re looking at. Our actual amount was more than that...but I knew that going into things that I wanted to spend whatever it took to have the photographer that I wanted to have. If anything, this spreadsheet just helped me see that I would have to spend less on another category to compensate for the over-expense on the photographer. The guidelines also suggest that we should spend between $960 to $1,600 on our Transportation, and that is being gifted to us by a friend that’s in the business, so we have no expense for that category at all. That’s just one example where the guidelines have been a little “off”...there have been many.

This is what initially helped me plan out our choices on vendor selections and décor options, seeing what I “should” be spending and knowing where I had some wiggle room to play. Towards the last few months of planning, I also added some entries below the sum total of all of my expenses on the second spreadsheet to show what else we would be paying for. The top of the sheet already calculated balances that we owed vendors that we had contracts with, but it didn’t factor in things that we hadn’t yet contracted or spent money on. Since I was looking to find an amount that I HAD to have saved/put back/earned through investments in our Wedding Account, it was helpful to see a “Remaining $$ Needed” total as well. This amount changed frequently, but it helped me in planning for adding and taking away projects and ideas.

And this has surprisingly been a handy tool that B checks in with often. At times, I’ll post the latest version on Google Documents and share the link with him. That way he can see where we’re spending our money and how much left we need to save to reach our goal. He can also see why something that he might want to have on our day won’t work...

In the end, after the wedding is done and over, and the recaps have all been done, I’m hoping that this spreadsheet will make my Final Budget post a very simple thing to do. It should all be entered. All expenses should be accounted for and tallied up into the appropriate categories...making my Final Budget post a walk in the park. We’ll see if it really works out like that or not...

Favor Recipe

Since I have now made 10, no make that 6, good batches of our favors...and still need 10 more batches made, I figured that I would share my Snickerdoodle recipe with you all. In case you’re on the prowl for a good cookie that’s not too sweet and has NO chocolate in it (which to me takes away points, but who asked me?).

Yes, I can do this from memory now...since the first four batches went into the trash can...

Snickerdoodles
½ cup butter
1 cup of sugar
1 egg
1 tsp. vanilla
1 tsp. cream of tartar
1/8 tsp. salt
½ tsp. baking soda
1 ¾ cup of flour

1 Tsp. ground cinnamon
2 Tsp. sugar

Preheat oven to 350.

In small bowl, combine flour, baking soda, cream of tartar and salt. Stir with spoon to mix together. Set aside.

With butter at room temperature, mix with sugar until creamy on low/med-low speed. Add in egg and vanilla. Slowly add dry ingredient mixture, a little at a time. Increase speed on mixer as needed when the dough gets thick. Once all dry ingredients are mixed in, form dough into balls. (I use a Pampered Chef cookie scooper to form the balls and then just have to roll them in my hand to make them smooth.) In another small bowl, combine the cinnamon with the sugar and mix to form a sugar/cinnamon mixture to roll the dough in. Drop each ball of dough into sugar/cinnamon, covering well. Place on cookie sheet and flatten (I use the bottom of a glass). Cook for 8-10 minutes, or until the bottoms turn golden.

The flattening step is just something that I have found helps the cookies bake better, but isn’t necessary. Serve warm. That’s how they’re best. This is a small recipe and depending on the size of your dough balls may only yield around 20 cookies. In a stand mixer like mine, I can do a double batch with no problems.

On a side note, this is an excellent cookie to freeze. Follow all the steps including rolling the dough balls in the sugar/cinnamon. Place all the dough balls on a cookie sheet and place in the freezer for just a little while so that the balls harden. Then place dough balls into a Freezer-safe Ziploc bag and they will stay good for months. (Freezing them first on a cookie sheet makes them individual balls of dough. If you don't do that step, the dough balls will stick together and freeze in clumps of dough balls.)

Simply take out however many you would like to cook, allow to thaw (this is where it IS important to flatten!) and cook following above directions. We like to make cookies this way and just eat them a little at a time...so they’re always hot and fresh! (And there are no finished pictures because we eat them hot off the stove...without even time for a blogger to get her picture...sorry!)

The Boys’ Gifts...

I don’t think that I’ve talked much about the gifts that we’ve selected for our wedding party. That’s mainly because all of my Maids read this blog and I want their gifts to be a surprise...but since NONE of the Boys know about the blog, much less read it...and I think that they all know about their gifts anyway, it doesn’t hurt a thing to share their gifts with you all!

So, you know from this post that one of their gifts is the tie that they will wear the day of the wedding.

And you know from this post that another one of their gifts is the socks for the wedding. I posted this picture from the seller’s site...

But in actuality, the color isn’t purple at all (according to me, a connoisseur of eggplant!) but more like a burgundy color. See for yourself...

Does it even look like the same pair of socks?

At this point, I don’t really care that they don’t match. Actually, I do care. But it’s just too much trouble to return them and get another set of socks that might not be any closer that what I was wanting...so this lazy bride is content with the socks that she has! I know, I know...totally lazy of me!

But the gift that we were really excited about giving them – and they’re all excited to get are these babies:


Yep, we’re giving them all Chucks in black and white to wear after the ceremony is over. Since we needed their shoe sizes to place the order, they had to know about the gift in advance. B says that they’re all pretty pumped about them...

And we’re ordering them for T too, as he’s the ring bearer. B and I talked about it the other night and unless the shoes are included in T’s suit rental (which we have NOT taken care of yet!) we’re just going to let him wear the Chucks for the ceremony too. B got a little upset that T get’s to wear his Chucks for the ceremony and I won’t let B and the Boys wear theirs...but my point is valid. I want nice dress shoes, that’s what I’d prefer that T wore too. But he doesn’t own any right now (since most churches are more casual about dress codes these days than when I grew up...) and I really don’t want to buy him shoes that he’ll outgrow in 3 months. Which is why we’re not buying his suit either...

B gets my point and begrudgingly accepts defeat on this one. Not that I’m keeping score, mind you! LOL. I love the shoes, and hope to catch lots of cute shoe shots with our photographer!

Another Challenging Task Looms Large...

Did you know that it’s REALLY hard to pick out music to play at your reception? Maybe it’s not hard for everyone, but this has been really challenging for B and I to take care of. And since we’re at about 20 days out...we kind of need to get this task done.

It’s not that we don’t know what to pick, that’s definitely NOT the problem. The problem is that we have such a WIDE range of taste in music that we just don’t know where to start. We want a good party. We want the dance floor packed. So therefore, we need good music. I thought that we’d just pick good dancing songs, but it’s harder than that.

With our DJ company, there is a website and a client area. You log in to your event and from there you can fill out all the necessary forms. You can submit a time line, the bridal party names, and who is making the toast and prayer. And you can also peruse their music library. You’re instructed to pick out 50 songs and put them in your “Must Play” list...and pick out 30 songs and put them in your “Play if Possible” list. There’s even a section where you can select songs for a “Do NOT Play” list, which is handy. (So far, we haven’t put anything there!)

So what’s hard about all of this, is what you’re asking yourself right now, huh? It’s hard to pick out music that everyone will like. Or maybe not everyone, but a vast majority of the crowd. Music that people like. Music that is good to dance to. And mentioning that, there has to be a good balance of slow songs to dance to, fast songs to dance to, and country songs to boot-scoot to...this is Texas, after all!

And that’s where we’re running into problems. We see lots of music/songs that we personally like (even though our taste varies quite a bit) but we’re not sure if the song is appropriate. Or if the song is a good song to dance to. There have been quite a few favorites that have been knocked off of the list simply because we decided that although that’s a good song to listen to while driving down the road, speeding along, with the windows rolled down and the sound turned up...maybe it’s not a good song to dance to at your wedding.

We’ve made some progress, we really have. We started with the letter “A” and ended on letter “L” last weekend. My goal this weekend is to make it through the rest of the alphabet if possible. We’re already at 47 songs on our “Must Play” list, so I know that we’ll have to go back and weed through the lists once we finish with letter “Z.”

And don’t get me started on the special dances songs! It was very simple to pick our first dance song...there was a CD that B played over and over when we first started dating, and one song in particular on that album that we loved to dance together to. It’s not exactly your run-of-the-mill traditional first dance song, but it’s our song. (And really, what’s been traditional so far? Why stop now?) But after the ease of selecting that special dance song, I’m stumped. I know that my dad will prefer a nice waltz for our Father-Daughter dance...but have NO clue which song I’ll select. I keep hoping that I’ll see something in the DJ’s library that will “speak” to me...so far, it’s been pretty quiet! And then there’s the other songs...last song, the entrance of the bridal party song, etc. The list goes on and on...

Has anyone else found this task to be challenging? I read posts from other brides (especially on weddingbee) and they make it look so easy...I’m jealous! Are you having trouble with this task too?

More Paper Goods – Thank You cards

Here’s a project that I knocked out with ease...our Thank You cards. Yes, I’m a little early on getting them together, but I want to have them on hand after the wedding since we’re not leaving on our honeymoon right away and I’ll actually have two weeks to possibly get them done before we leave? I know, those are probably just pipe dreams, but allow me my delusions for now, ok?

I designed the thank you note in my trusty Word program, using text boxes and a new font that I found via Miss Apple Cider on weddingbee - you can find it here, if you're interested. Nothing fancy, and I just planned on stamping our scroll and embossing it, of course. That will dress it up plenty!

I ordered the cardstock from here, and waited patiently for it to come in. I laid out the design so that I could fit 2 thank you cards on one 8.5x11 sheet of paper, and went to town printing them out. I don't really know why, but on one of them I printed the "Thank you" up high and the other down low...can't really say why. Here they are all printed out:
I used my cutting tools from Creative Memories to trim them down to size, and my Martha bone folder (man – that is one HANDY tool!) to make a nice fold along the right edge. Here’s me in action: Pretty? Yes. Finished? No. Once that was done, I got out our scroll stamp and stamped and embossed them. And the final result? Here you go! Aren’t they gorgeous?!? Simple. Elegant. Beautiful. Yes, I’ll admit that I’m slightly (ok, maybe a LOT) biased. But so what. I like them, and that’s all that matters. (Sorry for the shadow, that's just me bending over them while I took the picture...)

Now I just have to wait patiently for the matching lighter weight paper to arrive...I plan on using an envelope template to make the envelopes for these.

Featured Wedding - Stacy and Ricky

Oh my goodness, get ready for some eye candy overload...SERIOUSLY...there were just TOO many great pictures to cut them out for our Featured Wedding today! "I first met Stacy a LONG LONG LONG time ago. By long, I mean over two years ago? She came by way of one of her bridesmaid, Suzanne, who was and still is a loyal blog stalker. I'm not sure anyone can top this girl...but I'm glad that Suzanne introduced Stacy and I - as well as introduced Cat and Kristine to me, because I've gotten the chance to shoot some of my favorite images in my portfolio with both of these couples. :) I had no idea then that Stacy and Ricky would have an amazing, crazy and definitely one of the most adventurous wedding we've ever gotten to shoot. It all started with some flowers catching on fire on one of the table...(no one noticed...but Thurst ran to the rescue and basically saved Hotel Derek :oP). Then we had a groomsman dancing on a table....followed by a bridesmaid...and then the groom...all at the same time, totally unaware that the table cloth was slipping off inch by inch. I watched a catering staff try to not look worried...but failing miserably. When all three finally got off the table...I could almost hear the hotel staff breath a sigh of relief...and up to that point, I didn't realize I was also holding my breath the entire time this was going on. :) But really, isn't that what makes a wedding so wonderful? All those moments of holding your breath, waiting and watching while something fantastic is about to take shape? Stalkers, meet Stacy+Rick. Suzanne nicknamed them "Sticky." Sorta like an homage to Brangelina..."

Now, without any more talk from me...I know that I said no more from me, but seriously, that picture is AMAZING...makes me want a classy hotel with shiny floors for my own wedding!
LOVE the pop of hot pink in everyone's flowers...Some details...Yep, the secret's out...now you all know why I loved this wedding...purple tablecloths...with pops of hot pink...can anyone say my colors?

Kreativ Blogger Award!!!

Well, my friend Katie, over at this blog...go on check her out, I’ll wait...You’re back? Didn’t you just LOVE her blog...follow along with her too – she’s great! What was I saying? Oh yeah. Katie gifted me with the Kreativ Blogger Award...it’ll start our month off nice, I think, so I saved this post until today to share with you all. I guess the “rules” are that I must now list 7 facts about myself, and then pass the award on to 7 other blogger friends...Here you go!

1. If candy were a food group, that’s all that I would eat. Seriously. But when the candy comes in all sorts of colors (think Skittles or M&Ms) I have to eat them by color. Like two reds, two browns, two yellows. Yes, I like to eat them in pairs too...does that count as my #2 fact? Anyway, back to Skittles (my all time favorite candy ever!) I like to eat them in this order (least to most favorite flavor): lemon, lime, orange, grape and strawberry. Even if I just grab a handful out of the bag, I eat them in that order. And it TICKS me off when I bite into a red one expecting strawberry and get lemon!
2. I don’t eat sauce on my pizza. If I go eat somewhere and they won’t let me order it without sauce, that’s fine. I’ll still get it, but before I start eating, I will literally take off the toppings and cheese and scrape off the sauce onto my plate and put the toppings and cheese back on and proceed to eat. (*An extra weird fact? I knew that B was the one for me when we started dating and found out that neither of us liked sauce on their pizza! A match made in heaven!)
3. I am left handed...but only for writing and brushing my teeth. Everything else that I do I do with my right hand such as cutting with scissors/knife. But I can write almost legibly with both hands...
4. I sing when I’m in the car. I don’t care who sees me. I don’t care if I’m at a red light. I don’t really care if it sounds good or not. I can’t help it. I even mouth the words sometimes at the gym while using the equipment with my iPod!
5. I lose more hair in a single day than Chewbacca on Star Wars. B makes weird noises at me (think Chewbacca) sometimes when he sees my “shed pile” in the trash can...we both (and my mother) wonder how I’m not bald yet. It’s got to be only a matter of time!
6. I can’t stand to have anyone touch my neck. It started way back in junior high when a friend jokingly acted like she was going to strangle me, except that she pushed too hard and I passed out...ever since then I can’t stand to have anyone touch my neck. This annoys B to no extreme, and he tries to get past my defenses in this area repeatedly...he has NOT been successful thus far. But maybe this is just genetic, as my Mom can’t stand to have anything on her neck either – necklaces that are too tight, turtlenecks, nothing like that.
7. I’m a SUPER big Goofball. Dorky to the extreme. And I’m ok with that fact. You may think I’m weird, but I laugh at myself all the time and have the most fun. I’m the girl dancing her way down the aisle in Michael’s when “Thriller” comes on...and even better? B sings along with me if it’s a duet. Yep, we’re both BIG DORKS!
